2. Read the situation, think it over and do the following tasks: phone to the company and find out when your order will be executed and write a letter of complaint, use the information below.

2.1. Imagine that you are working in a trading company. You have a contract with an American company for the supply of a large batch of meat. Your business partner from New York is calling on the issue of delivery delay of goods to Russia. He explains you that the ship, which is to deliver the order, needs urgent repairing.

He asks to transfer the delivery 2 weeks later. However, you have already got an obligation, in accordance with which you just need to get your product in time or you will suffer a loss.

Dear American company

I’m writing to express my company’s situation on delaying our goods.

As our contract we buy a large batch of meat for trading in our country. But in this order you make some mistakes and our goods didn’t come on time. As our contract we will not do any penalties and we will give second chance to you. If you will repeat this situation again we will give you to court as contract details.

Repairing of the ship couldn’t be strong excuse for delaying our products. You had to search another way of delivering our products. Our consumer’s rate decreased sharply.

I hope you can take steps to make sure this mistake does not happen again.

2.2. Answer the following questions:

1. Do you agree to change the delivery terms?

2. Why is it so important to you not to change the terms?

3. Is there a possibility to find the other ship?

4. Is there a possibility to repair the ship?

5. Should you refuse the services of the company and quickly find another supplier or better try to reduce the delay, or to find another ship?

6. Do you have any other ideas?

2.2 Answers

  1. I totally don’t agree to change the delivery terms. Because of it can influence to my company’s reputation and the trade rate of my company can rapidly drop.

  2. As I mentioned before it affects to my company’s reputation and trade rate.

  3. If I have a communication with that kind of firm in Russia. I will order to deliver my goods.

  4. Yes, absolutely but it takes much time to repair.

  5. If it is repeated again I will refuse the service of that company and I will find a new firm closer to my location.

  6. No , I haven’t any ideas except I mentioned

2.3. While making your dialogue you should follow the instructions:

- phone to the supplier company;

- discuss the possibility of accelerating the delivery;

- offer the possible scheme of action, from your point of view (for example a search of another vessel);

- express your confidence in the future cooperation between your companies

Don’t forget to mention the following issues in your conversation:

- inform that urgent delivery is very important for you (сообщите, что срочная поставка товара для вас имеет первостепенное значение);

- insist that in this case you will require to pay penalty and all the expenses connected with the problems arisen(настаивайте на том, что в противном случае вам придется потребовать выплаты штрафов и покрытия всех ваших убытков, возникших вследствие неисполнения контрактных обязательств) ;

- say that these long terms of delivery are not acceptable at all (убедите, что не можете согласиться с очень длительными сроками поставки);

- сообщите, что вопрос можно считать решенным, и вы рады прийти к соглашению.

2.3- Hello, I’m calling about the supply of a large batch of meat.

- Yes, the manager is speaking. What’s the problem?

- Our business partner from New York was calling on the issue of delivery delay of goods to Russia.

We are very sorry. The ship, which is to deliver the order needs urgent repairing.

- I understand, but the urgent delivery is very important for us.

- We could transfer the delivery 2 weeks later.

- I’m sorry, these long terms of delivery are not acceptable at all. We insist that delivery will be in time. Otherwise we will require to pay penalty and all the expences connected with the problems arised. We shouldn’t refuse the services of your company and quickly find another supplier, better try to reduce the delay, or to find another ship. We expect you can correct the problem urgently. We work with you for a long time and your goods are very nice and deliveries were always on time without problems

. - We are very glad to have business with you. Don’t worry. We’ll try to correct our fault. –

2.4. Write down a letter of complaint:

- make a point connected with this;

- demand immediate action;

Dear Sir/Madam,

I am writing to express my dismay at the service at your Chilanzar branch on Saturday 14 January.

I often collect prescriptions from the pharmacy on behalf of my grandmother, Mrs Odilova Farangiz . On this occasion there were two prescriptions: one for 10 x 50 mg Trimol and one for 50 x 100 mg Panangin. I was served quickly even though there appeared to be only one pharmacist on duty. However, as I was leaving I saw that I had been given 500 mg tablets of Trimol. This is ten times stronger than the prescription called for.

If I hadn’t noticed the difference between the prescription and the actual tablets, my grandmother could have taken a dangerous overdose of Trimol. I would be worried about getting any future prescriptions at Chilanzar.

The pharmacist apologised and corrected the mistake but I wanted to bring it to your attention. I think it happened because there were not enough staff on duty. I understand that mistakes happen but there needs to be a minimum of two pharmacists at all times so all prescriptions can be checked.

I hope you can take steps to make sure this mistake does not happen again.
